Budget and Timeline

A realistic budget and a clear schedule are critical for successful grant and funding applications. Kilavuz allows you to plan your project costs and timelines step by step alongside your proposal questions.

Budget Planning

Switch to the Budget tab in your project workspace to organize expenses across standard categories:

  • Personnel Costs: Working months, roles, and compensation for researchers, specialists, and managers.
  • Equipment & Tools: Hardware, laboratory instruments, software licenses, or technical tools needed for the project.
  • Consumables: Technical supplies, lab materials, or office essentials consumed during the project lifecycle.
  • Travel & Accommodation: Transportation and hotel costs for project meetings, field tests, or conferences.
  • Subcontracting & Consultancy: External services including specialized testing, legal advice, design, or technical auditing.

Adding and Editing Budget Items

  1. Select the relevant category and click + Add Item.
  2. Enter the item description, quantity, and unit cost.
  3. Kilavuz calculates totals automatically and updates your overall budget.
  4. Add a justification note explaining why this expense is necessary for the project.

Project Timeline & Work Packages

To ensure deliverables are met on time, project activities should follow a structured order. Use the Timeline tab to define phases and milestones:

  • Work Packages (Activities): Break the project into major phases (e.g., Needs Analysis, Prototype Development, Field Testing, Final Reporting).
  • Time Periods: Set start and completion months for each activity.
  • Deliverables & Milestones: Identify key deliverables (e.g., interim reports, working prototypes, patent filings).
  • Responsible Teams: Assign activities to team members or partner organizations.

Summaries and Export

  • Category Breakdown: View summary totals across all spending categories at a glance.
  • Timeline Alignment: Check dependencies between work packages easily.
  • Seamless Export: Your structured budget tables and project schedules are automatically included when you export your proposal.
